POSITION SUMMARY:


  The E-rate Specialist will be responsible for the Administration of the E-rate Program.  The Administration of the E-rate Program is well documented in Board Policy 0124 E-rate Management and Administrative Procedure 0709 E-Rate Procedures. The E-rate Specialist will be directed by the Chief Information Officer to ensure the district adheres to policy and procedure.  Responsibilities include collaborating with Technology Operations and the Telephone Services Office, Accounts Payable Office Accounting Office, Budget Office, Purchasing and the Treasury Office.  All paperwork for each annual cycle must be retained to support the district's annual application.  If applicable, E-rate Specialist will work with E-rate Consultant to assist in the submission of the annual application, gather information needed from the district to submit application, and retain all records used for the annual submission.  The E-rate Specialist will also perform duties such as creating requisitions, budget adjustment requests, and time entry for the Department of Technology Support Services.   

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Keeps record of all paperwork and electronic documentation to support the annual application submission which includes RFP documents, evidence of RFP posting, scoring rubric used, actual scoring of each vendor;

Forms 470 and Form 471;

Invoices for all e-ratable services;

A copy of annual FARMs information and detail records;

Form 472 - reimbursement;

Reconcile accounts to ensure all reimbursements are received in a timely manner once approved by USAC;

Copy of the Budget to verify funds are available for E-rate Projects;

Copies of Reimbursements Received;

Create Requisitions using Oracle's E-Business Suite;

Create Budget Adjustment Requests using Oracle's E-Business Suite;

Complete Time Entry in Oracle's E-Business Suite;

Set up Job Interview Packets for the Director of Technology Support Services;

Assist with Administrative Tasks in the Division of Information Technology; and

Other duties as assigned.

 

 

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Thorough Knowledge of Microsoft's Office Suite;

Effective administrative skills;

Effective organization skills;

Excellent written and verbal communication skills;

Willingness to work flexible schedules;

Time keeping skills;

Skills in Oracle to complete requisitions, budget requests, and prepare budget reports;

Thorough knowledge of E-rate rules and regulations; and

Thorough knowledge of Board Policy 0124 and Administrative Procedure 0709 

 

EDUCATION and/or EXPERIENCE REQUIREMENTS:


 

Associates Degree Preferred; High School Diploma Required.
