POSITION SUMMARY:


  Under direction, provides services and responds to daily requests by school system personnel, parents, and the community for explanation of matters directly and tangentially related to student record policies, procedures, and decisions. Work includes providing in-service, conducting audits, records monitoring, records management and accountability. This work includes managing diploma /certificate issuance, using technology to retrieve data and collaborating with other departments and offices. This work includes reviewing and processing transfer requests in accordance with administrative procedures and guidelines.    

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Collaborates with School-based Records Team and principal to provide direction for establishing an effective records management team and for records maintenance, monitoring and management in an assigned group of schools.

Participates actively on a collaborate team in the development, monitoring, implementation, and assessment of the Records Management Monitoring Tool;

Plans, conducts, and provides follow-up for staff development activities focused on development, implementation, management, and monitoring of the records accountability plan;

Assists schools with the review of a sample of records and documents findings to support improvement in  records accountability at the local school;

Works closely with registrars, high school and middle school guidance secretaries and elementary secretaries on student records concerns;

Conducts and models the records review process for school team members;

Participates in updating the Student Records Guidelines;

Conducts professional development meetings on topics such as changes in the Maryland State Records Manual, School Enrollment Manual, other topics that support records management, maintenance and accountability;

Reviews transfers, processes and enters data into the STS system and Google Docs and tracks documents to ensure that they are sent to constituents in a timely manner;

Other duties as assigned by the Director.

 

 

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Thorough knowledge of the school system's Enrollment Manual and Administrative Procedure (AP 5110.3);

Thorough knowledge of the Revised Maryland State Department Records Manual;

Knowledge of records management practices and procedures;

Thorough knowledge of the best practices to support records accountability;

Ability to analyze findings from records audits, write reports and provide recommended course of  corrective actions;

Computer literacy including proficiency with Microsoft Word, PowerPoint, SchoolMax and the STS system;

Excellent oral and communication skills; and

Effective human relations and interpersonal skills.

 

 

EDUCATION and/or EXPERIENCE REQUIREMENTS:


 

Master's degree from an accredited college or university and five (5) years successful teaching experience.

 

 



CERTIFICATION REQUIREMENTS:


 

Advanced Professional Certificate; Administration I Certificate required.


 



SUPERVISORY RESPONSIBILITIES:


No direct supervisory responsibilities.
