POSITION SUMMARY:
Under
the supervision of the Senior Employee Services Partner, this position works as
part of a team and provides high quality and diverse and complex administrative
support for strategic human capital reform activities, specifically applicant
and employee services, Human Resources functions and transactional services
that spans the employment lifecycle (recruit, select, hire, place, support,
develop, and transition). This position
assists with coordinating, managing and conducting onboarding sessions and
supports retention programs. Provides direct support for candidates throughout
the application process to include troubleshooting system problems and
responding to inquiries verbally or in writing.
The incumbent supports all recruitment and retention programs and works
closely with various Human Resources offices, departments and schools. The
Employee Services Assistant provides exceptional customer service and serves as
a liaison to other departments, staff and customers. Communicates with staff
and customers at various levels. Utilizes a variety of technologies in the
performance of assigned duties.
DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Supports the
accomplishment of the Human Resources Division mission and objectives by
completing diverse and complex administrative duties that support the
employment life cycle and transactional employment functions;
Establishes
and maintains a strong, positive working
relationships with all customers and staff to support the delivery of efficient
and effective Human Resources services (best practices);
Implements processes, standard operating and administrative
procedures, negotiated agreements, local, state and federal regulations;
Assists with applicant transitions to employment and new hires
with orientation and onboarding programs to support building high quality
talent pools to fill vacancies;
Troubleshoots customer issues and supports the transition of
candidates to staffing teams, administrators and hiring managers;
Implements processes, standard
operating and administrative procedures, negotiated agreements, local,
state, and federal regulations;
Responds to employee
and applicant inquiries, schedules and facilitates individual conferences and
provides follow up documentation as required;
Prepares routine and
specialized reports to determine the effectiveness of onboarding programs;
Resolves frontline
customer related issues and concerns with discretion and maintains confidentiality
of sensitive information;
Triages issues;
identifies and refers complex and sensitive issues to the Employee Services
Partner and Senior Partner as appropriate;
Serves
as applicant tracking systems and Oracle Self-Service point of contact for
issues resolution;
Performs
administrative duties to include but not limited to candidate screening,
briefing new hires on benefits and other onboarding activities, posting
positions, data entry, scanning, researching and updating job sites/banks and
applicant tracking systems;
Conducts
Orientation, onboarding and training sessions for new hires, as well as
participates in a variety of presentations;
Tracks, gathers and
compiles candidate and new hire materials to facilitate completion of the
application, screening and hiring processes;
Drafts and prepares
memos, correspondence, forms and other documents, materials and presentations, reviewing for
accuracy and completeness prior to submission;
Supports day to day
office functions by scheduling and coordinating appointments and meetings,
arranging travel, and processing assigned business actions;
Assists with data
collection, creates and maintains spreadsheets and accurately compiles,
organizes, and prepares information for various projects, reports, meetings and
presentations;
Organizes, prepares and
maintains Human Resources records and data related to the various phases of
employment; Prepares and processes applicant and employee files and assists
with onboarding;
Assist office and
school based staff by responding to general inquiries and provides support
related to Human Resources functions;
Assists with
recruitment and selection activities to include but not limited to screening
postings, scheduling appointments, coordinating candidate events and selection
panels, etc.;
Completes special
administrative projects as assigned;
Utilizes all Human
Resources information technology and adapts to new technologies quickly; and
Performs other duties
as assigned.

have a minimum of two years of Human Resources related administrative
experience, preferably in a high volume office;

EDUCATION and/or EXPERIENCE REQUIREMENTS:
High School diploma or GED required. Must have successfully completed classes or
course work resulting in proficiency in Microsoft Office Suite (Excel,
PowerPoint, Word, etc.) report generating software and other human resource
technologies and be skilled in using the Internet for work related research; Or
a combination of equivalent years of experience, education and skills that
would meet the position requirements.
