POSITION SUMMARY:


  The incumbent will perform a variety of responsible work involving the registration, transfer, preparation, and maintenance of student records. Employees in this class perform work in accordance with established regulations and policies, and are expected to exercise mature judgment and tact in working with confidential information. General supervision is received from the Supervisor. The Registrar demonstrates the ability to assume increasing responsibility, assemble and organize data, and prepare reports from this data.   

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Assemble and organize data and prepare reports from this data;

Establish and maintain a comprehensive record system for students to insure proper grade placement;

Assist in checking records to assure that students are meeting specific requirements of graduation;

Organize and maintain cumulative folders of incoming students, in-school students, withdrawal and graduate;

Compare statistical reports associated with surveys, research and grade point averages;

Enter and update all personal/academic information in School MAX and File Maker Pro for enrollment, discharges and transportation;

Maintain Homeless nonpublic students’ reports;

Request records from base schools and other jurisdictions;

Enroll and withdraw nonpublic students;

Contact parents for acceptance in nonpublic schools and set-up transportation;

Make brown and red folders;

File student records, papers and folders;

Answer telephones and greet visitors;

Work collaborative with the Data Management & Technology Office to enroll and exit Non Public students from MD Online IEP and School MAX;

Assist Professional School Counselor as appropriate;

Maintain data on student enrollments, withdrawals, records requests, graduates, etc.;

Interact with the Transportation Office concerning input of and revisions, thereafter, of addresses, telephone numbers, as well as daycare provider changes;

Work collaboratively with Transportation Office for obtaining transportation; and

Performs related work as required.

 

 

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Considerable knowledge of modern office practices, procedures with specific reference to keeping records;

Through knowledge of school curriculum and course credit system;

Good knowledge of business English, vocabulary, spelling and arithmetic;

Previous experience in or ability to learn information processing and data entry from remote terminals;

Ability to type at the established rate of speed;

Ability to organize and assemble data and prepare reports;

Ability to work independently;

Ability to use sound judgment, tack and courtesy; and

Must be in good physical condition.

 

 

EDUCATION and/or EXPERIENCE REQUIREMENTS:


 

Completion of a standard high school diploma or GED with considerable experience in performing general clerical work of a progressively responsible nature, some of which shall have involved the maintenance of student records; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
