POSITION SUMMARY:


Performs clerical payroll tasks of moderate difficulty in the maintenance of the payroll system including payroll controls, payroll preparation, payroll reports, time reporting and the processing of other transactions relative to payroll operations; does related work as required.  Specific tasks will involve customer service responsibilities by responding to employee inquiries made in person, through email, regular mail and telephone.   Under immediate supervision, employees in this class follow generally prescribed procedures requiring the exercise of some judgment in performing clerical payroll operations.      

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Monitors, maintains, processes and ensures accuracy for payments and time entry for assigned employees;

Verifies time reported and contacts work locations to resolve any questions concerning employee’s pay and/or discrepancies;

Monitors, tracks and maintains employees’ leave of absences and return to work;

Calculates reconciliations (earned versus paid) to determine payroll liability;

Answers frequent walk-in, email and telephone requests from employees regarding simple payroll questions;

Prepares reports by compiling summaries of earnings, leave, deduction and non-taxable wages;

Collates, calculates and enters data into Oracle;

Updates payroll records by entering any changes to employee information such as: exemptions, time worked, leave and balance adjustments;

Initiates periodic payments by preparing and administering checks or making deposits to a banking institution;

Processes and issues W2 forms; and

Performs other duties as assigned.

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

Knowledge of relevant payroll legislation, policies and regulations on both state and federal level;

Knowledge of complex payroll software;

Working knowledge and experience with Oracle and/or other payroll software such as PeopleSoft, PayForce, etc.

Knowledge of payroll practices, accounting principles and IRS payroll regulations;

Knowledge and experience with Microsoft Office Suite;

Experience working in customer service;

Excellent human relations skills, and oral and written communication skills;

Ability to efficiently and accurately perform data entry;

Ability to work independently in a time sensitive environment and make sound decisions;

Ability to multi-task in a high volume and fast paced work environment with specific deadlines;

Ability to maintain confidentiality;

Outstanding organizational and time management skills;

Ability to collaborate with others and be an effective team player; and

Ability to calculate pay and leave computations accurately.

EDUCATION and/or EXPERIENCE REQUIREMENTS:


High school diploma or GED required.  Two (2) years of experience in a fast paced, high volume payroll and/or human resources environment.

CERTIFICATION REQUIREMENTS:


Fundamental Payroll Certification (FPC) or equivalent preferred.

SUPERVISORY RESPONSIBILITIES:


No direct supervisory responsibilities.

While performing the duties of this job, the employee may occasionally push or lift up to 25 lbs.
