POSITION SUMMARY:


Under general supervision, the incumbent performs payroll tasks of moderate difficulty in the maintenance of the payroll system, including payroll preparation, payroll reports, time reporting and the processing of other transactions relative to the payroll services. The work involves processing payroll transactions for the purpose of updating and correcting employee records and issuing paychecks, answering and responding to phone and e-mail inquiries as well as walk in traffic. Work of this class involves the ability to apply detailed understanding of PGCPS policies and procedures, and understanding of negotiated contracts.    

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Monitors, maintains, processes and ensures accuracy for payments and time entry for assigned employees;

Verifies time reported and contacts work locations to resolve any questions concerning employee’s pay and/or discrepancies;

Monitors, tracks and maintains employees’ leave of absences and return to work;

Calculates reconciliations (earned versus paid) to determine payroll liability;

Creates quick pas as needed;

Answers frequent walk-in, email and telephone requests from employees regarding difficult payroll questions;

Researches records to supply or support earnings paid and reported;

Prepares reports by compiling summaries of earnings, leave, deduction and non-taxable wages;

Researches and responds to inquiries from Employee and Labor Relations Office and Office of General Counsel;

Collates, calculates and enters data into Oracle;

Updates payroll records by entering any changes to employee information such as: exemptions, time worked, leave and balance adjustments;

Trains newly assigned employees;

Initiates periodic payments by preparing and administering checks or making deposits to a banking institution;

Processes and issues W2 forms; and

Performs other duties as assigned.

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

Solid knowledge of relevant payroll legislation, policies and regulations on both state and federal level;

Working knowledge and experience with Oracle and/or other payroll software such as PeopleSoft, PayForce, etc.;

Extensive knowledge of payroll practices, accounting principles and IRS payroll regulations;

Through knowledge and considerable experience with Microsoft Office Suite;

Experience working in customer service;

Excellent human relations skills, and oral and written communication skills;

Ability to efficiently and accurately perform data entry;

Ability to work independently in a time sensitive environment and make sound decisions;

Ability to multi-task in a high volume and fast paced work environment with specific deadlines;

Ability to maintain confidentiality; and

Ability to collaborate with others and be an effective team player.

 

EDUCATION and/or EXPERIENCE REQUIREMENTS:


High school diploma or GED required; Bachelor’s Degree in Accounting/Business Administration/Human Resources preferred.  Four (4) years of experience in a fast paced, high volume payroll and/or human resources environment.

 

 



CERTIFICATION REQUIREMENTS:


Fundamental Payroll Certification (FPC) or equivalent preferred.

SUPERVISORY RESPONSIBILITIES:


No direct supervisory responsibilities.
