POSITION SUMMARY:


Under direction, provides services and responds to daily requests by school system personnel, parents, and the community for explanation of matters directly and tangentially related to student record policies, procedures, and decisions. Work includes providing in-service, conducting audits, and managing diploma certificate issuance

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Monitors student records retention/microfilming;

Works closely with registrars, high school and middle school guidance secretaries and elementary secretaries on student records concerns;

Assists in the review of all system procedures and directives for conflict with existing records, policies/procedures and shares suggestions/corrections;

Assists with transcript retrieval when necessary;

Oversees diploma and certificate issuance for all county high schools and special education centers;

Develops, designs, and revises diplomas, Certificates of Merit, and other certificates, as needed;

Reviews diploma bids and make recommendations to Purchasing Department;

Participates in updating the Student Records Guidelines;

Solicits system personnel input and addresses the need for change or improvement in services;

Provides factual information to school system personnel and the public regarding record inquiries;

Assists in developing in-service programs for elementary and secondary clerical, administrative and guidance personnel; and

Performs additional duties as requested.

 

 

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Considerable knowledge of Board of Education policies, school system administrative procedures and related state and Federal statutes and regulations as related to student records;

Ability to develop and conduct staff workshops;

Ability to work independently and to exercise initiative in carrying out duties and responsibilities;

Excellent oral and communication skills ;

Excellent human relations skills; and

Effective interpersonal skills.

 

 

EDUCATION and/or EXPERIENCE REQUIREMENTS:


 

Bachelor’s degree in education, administration or related fields with work experience in student records; or any combination of experience and training that provides the required knowledge, skills and abilities.

No direct supervisory responsibilities.
