POSITION SUMMARY:


The incumbent of this position assists in the administration of the Risk Management program by performing difficult clerical tasks associated with the timely and accurate recording of losses, claims, insurance premiums, and other risk related costs and information. Work in this class involves responsibility for the performance of clerical and reporting functions to protect Prince George’s County Public School’s (PGCPS) interest in insurance matters by making certain that claims for recovery are complete and current, reimbursements from carriers and Risk Management Funds are timely, and that internal controls to minimize risk are adequate. Assignments are carried out using initiative, a high degree of independent judgment and minimal supervision. This class can be distinguished by the more difficult and complex nature of work performed, the increased degree of independent judgment that can be exercised and the more general supervision received.

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Serves as receptionist, receives telephone calls, answers inquiries by internal and external entities including, but not limited to attorneys, insurance adjusters, claimants, school and non-school based personnel, parents and the general public;

Processes all incoming mail and reviews all correspondence, recognizing priority items and addressing them;

Prepares letters of request, transmittal and acknowledgment on own initiative and from rough notes or instructions;

Reviews correspondence, reports and other papers prepared for superior’s signature to assure conformance with administrative instructions and requirements;

Arranges for records and keeps supervisor advised of meetings and appointments;

Reviews employee’s first notice of loss; processes log sheets, wages and documentation needed for first notice of loss reports;

Assists in researching losses in order to acquire documented information;

Works collaboratively with all staff to ensure excellent customer service and quality work production;

Maintains records and prepares reports; gathers and compiles information for and assists in preparing the annual budget request; monitors expenditures with respect to budget limitations; confers with supervisor about the status of accounts and initiates reallocation of funds as instructed;

Researches, processes, and maintains records for vandalism restitution;

Processes, records and files auto liability payments;

Liaison with the designated vendor handling claims for the PGCPS;

Oversees the exchange of documents between the Prince George’s County Third Party Administrator and the Office of Workers’ Compensation/Risk Management and PGCPS;

Provides research support for the Claim Service;

Researches information and processes documentation for the replacement of equipment and order those items that were lost due to theft, fire, flood, etc.;

Researches and prepares purchase orders;

Prepares Certificates of Insurance;

Controls the issuing of auto liability checks for the Self-Insured Fund;

Collects, analyzes, and assembles statistics, and prepares year-end statistical reports;

Prepares office payroll; and

Performs other duties as assigned.

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

Working knowledge of school system policies, regulations and procedures;

Knowledge of modern office practices, procedures and equipment;

Ability to prepare effective correspondence on routine matters and to perform routine office management functions;

Ability to keep complex clerical records and to prepare accurate reports from such records;

Good knowledge of the principles of property, casualty and liability insurance;

Ability to categorize, review and process insurance claims;

Ability to collect, analyze and assemble statistics;

Ability to operate a computer with proficiency;

Must be proficient in Microsoft Office Suite, with particular strength in Excel; must also be proficient in Google applications;

Ability to perform routine and diversified clerical work involving independent judgment; and good interpersonal skills using tact, patience and courtesy;

Ability to establish and maintain effective working relationships with internal and external partners;

Effective oral and written communication skills; and

Ability to work under pressure and meet time deadlines.

EDUCATION and/or EXPERIENCE REQUIREMENTS:


High School diploma or GED required; supplemented by additional courses in insurance coverage training and at least two (2) years of insurance claims experience.
